Booking a Coach in Four Steps

Most requests need only one round of questions. Send the whole plan at the start, and the quote comes back sooner and with fewer surprises later.

Step 1: send the plan

Give the number of passengers, the date, the pickup address and the time. List the stops in order, with how long the group stays at each, and the time you want to be home. Add whatever changes the vehicle: suitcases, skis, instruments, a wheelchair, children who need a booster seat.

For an airport pickup, send the flight number and arrival time. For a ship, the landing stage or pier and the time the group comes ashore. For an event, the day and the time it ends.

Step 2: we check the route

Before a partner is asked, the route is read against the rules. Can the coach stop where you want it to? Is there a car-free resort or a winter pass on the way? Does the day fit inside the driver's 9 hours at the wheel? If something does not fit, we say so and suggest a change, such as a different stop or a second driver.

Step 3: the quote

A partner operator prices the trip. The quote names the vehicle and its seats, the times and the stops, and the operator's cancellation terms. Compare it line by line with your plan. Nothing is confirmed until you accept.

Step 4: confirmation and the day itself

Once you accept, the booking is confirmed with the operator. If the headcount or the times change, tell us and we pass it on. Airports do not set a meeting point for groups, so for an airport pickup one is agreed at booking. On the day, the driver comes to the agreed place at the agreed time.

What organisers ask us

How far ahead should we book?

Once the date is settled. For event days such as the Lauberhorn races or Art Basel, earlier is better, because many groups travel at once.

Can we change the plan after booking?

Yes. Send the change and we take it to the operator. A larger group or a longer day may need a different vehicle or a second driver, and the quote is updated.

What if a pass is closed on the day?

The driver takes the open route. Road-condition signs at the foot of each pass show whether it is open, closed or passable only with chains, and the operator plans the winter alternative in advance.
